Build an equipment requirement list
Link each equipment requirement to a task, location and date. Record capacity, attachments and any documentation required by the receiving site. Distinguish confirmed needs from optional additions.
Give the supplier a useful site brief
Include access dimensions, ground conditions, delivery windows and loading restrictions. Some equipment needs specialist setup or transport arrangements; identify these early so the quotation can address them.
Review the hire terms
Confirm the start and end of hire, extensions, operating-hour allowances, transport charges and support scope. Equipment availability and project schedules can change, so agree how variations will be handled.
Keep related services connected
The equipment order may also require spare parts, maintenance or transport. Identify these as separate scope items instead of assuming they are included. This helps the site and supplier work from the same requirements.
