Describe the loads, not just a requested kVA
List the equipment you expect to power and provide its nameplate or technical information. Identify which loads run together, which contain motors, and whether the requirement is prime power or standby backup. A single total can hide important differences between starting and running demand.
Explain the operating conditions
Include expected operating hours, the project schedule, site location and any noise or placement restrictions. Tell the team about sensitive equipment or existing power arrangements. Selection depends on the proposed unit and the application; category capacities are not a substitute for a technical review.
Agree the complete package
Ask the proposal to identify the generator, accessories and responsibilities for delivery, positioning, cabling, fuel and commissioning. Confirm the maintenance scope and the arrangements for additional work. Electrical design, connection and operating decisions should be handled by appropriately qualified professionals.
Plan for maintenance
If you already own the generator, a maintenance enquiry may be more appropriate than rental. Send service records, operating hours and any known faults with an AMC request. For temporary power during maintenance, include the expected dates and load requirements.
